Without it
  • RAMS arrive as email attachments and get lost in inboxes
  • Each one is read from page one, 20 to 40 pages at a time
  • Resubmissions are re-read in full to see if anything was fixed
  • Weak RAMS reach site because nobody had time to read them properly
With it
  • Every subcontractor, version and decision in one list
  • Each RAMS arrives already checked, with the gaps listed
  • Version 2 shows what was fixed, what wasn't and what got worse
  • A defensible record of what you checked, flagged and approved

How it works

  1. 1Request a RAMS

Enter the subcontractor, the work package, the site and when you need it. They get a private upload link by email. They don't need an account.

  2. 2It's checked the moment it arrives

The RAMS is checked against the UK regulations the work actually triggers: CDM 2015, Work at Height, PUWER, LOLER, COSHH and more. You see an overall score, a score per category and every gap, each tied to the regulation behind it.

  3. 3The subcontractor sees the gaps too

They see the same gaps straight away, so most can fix them before you ever open the document. Fewer emails back and forth, and their crew starts on time.

  4. 4Resubmissions show what changed

When version 2 arrives you see what was fixed, what is still missing and anything that was covered before but has now gone. No more re-reading the whole document to find out.

  5. 5Approve or return, with a record

Approve it, or return it with your comments. The subcontractor is emailed your decision. Every version, score, comment and decision is kept, with the original files.

  6. 6Brief the crew on site

Turn an approved RAMS into a one-page site briefing with a QR code. Operatives scan it to confirm they were briefed, and you keep the sign-on list.

What each side sees

You, the principal contractor

Every request and version, the score and gaps, the comparison between versions, the original files, and the approve or return decision.

The subcontractor

Only your request, their own document's score and gaps, and your decision. Never your other subcontractors, your documents or anyone else's RAMS.

Questions

Does the subcontractor need an account?

No. They upload through a private link you send them. They see only your request, their own document's score and gaps, and your decision.

Does SafeSite AI Technology approve the RAMS?

No. The check highlights gaps against UK health and safety law and shows the evidence behind each finding. Approving a RAMS stays your decision as the competent reviewer.

Which plans include it?

Professional and above, and every plan during the 14-day free trial. Professional includes 20 subcontractor uploads a month and Business 75. Beyond that, extra uploads are £1.50 (Professional) or £1.00 (Business) each, and only once you switch that on.

What files can subcontractors upload?

Text-based PDF or Word (.docx) files up to 4MB. Scanned images of paper documents can't be read.

Who can see the uploaded documents?

Only members of your organisation. Files are stored privately and encrypted, never used to train public AI models, and never shared for advertising.
